Position: The Admissions Coordinator is responsible for walking prospective students and families through the admissions process with efficiency, care, and compassion! The Admissions Coordinator will play a crucial role in fulfilling Hope Academy's vision to grow and serve more youth in our city with a remarkable, Christ-centered education. This position pays an hourly rate of $21-$23 depending on qualifications and experience.
The following reflects essential functions for this position but does not restrict the tasks that may be assigned.
Prospect & Inquiry
· Respond to walk-in, phone, and online inquiries – submit new inquiries in PowerSchool as needed.
· Assist with coordination, set-up and hosting of Admissions Tours and events.
· Maintain PowerSchool records for each prospective student (requesting records, uploading teacher questionnaire, student application and any other additional items).
Application & Assessment
· Communicate with, track, and assist families during the admissions process.
· Ensure all necessary admission related documents are received from potential families and schools.
· Ensure assessment materials are prepared and ready for use.
· Proctor assessments for prospective students.
· Schedule and score assessments for 3rd-5th grade applicants, host students and families during their assessment visit.
· Maintain PowerSchool records for each prospective student.
· Maintain an accurate numbers of enrollment and students who are in the wait-pool.
Interview & Acceptance
· Coordinate and schedule family interviews, host families during their interview visit.
· Coordinate new student checklist with school administration.
· Assist with correspondence and mailing to potential applicants.
· Communicate admission decision to perspective families/students in a timely manner.
US Decision Meeting (gather all pertinent applicant docs needed for team review)
· Maintain PowerSchool records for each prospective student.
· Create a summary overview of each applicant
· Present each student in a timely manner
· Communicate with, track, and assist families during the enrollment process.
Other Responsibilities
· Schedule, attend and take notes at team meetings as needed.
· Assist with annual Re-Enrollment.
· Assist with providing data for reports needed for Leadership Team and Board meetings.
· One on ones with supervisor for prayer, planning and accountability.
· Work closely with Admissions Coordinator Lead for all admissions, support the Admissions team in various tasks as needed.
Basic Qualifications and Experience
· High school diploma or GED
· At least 1-2 years of demonstrated relevant administrative experience, paid or volunteer
· Growing follower of Jesus Christ who desires to embrace the Hope Academy's Faith & Life Covenant
· Bi-lingual in English and Spanish is required
Preferred Qualifications and Experience
· Admission experience in educational or vocational settings.
· Previous relevant experience working with non-profits and/or faith-based organizations.

· Ability to quickly learn new technology database management tools. We currently use PowerSchool’s Enrollment and School Information System.
