Summary: The Graduate Support Operations Liaison plays a vital role in the success of Hope Academy’s College, Career & Graduate Support department. This full-time position ensures that critical systems, communication, events, and records are organized and maintained with excellence, freeing up program staff to focus on relationships and mentorship. Supporting the Director of College, Career & Graduate Support, Graduate Support Coordinator, and College & Career Teachers, this person ensures the entire team operates efficiently and effectively, with special focus on supporting and engaging with upper classmen and recent Hope Academy alumni. This is a mission-aligned, detail-driven role for someone who is passionate about student success and gifted in logistics, organization, and connection.
Primary Responsibilities
Administrative & Systems Coordination
- Maintain up-to-date records for students and alumni, including Covenant Mentorship signers, mentor pairings, alumni progress, and student postsecondary planning data.
- Support communication systems such as mailing lists, email templates, calendars, social media and digital forms.
- Manage departmental data entry and organization across multiple platforms (Microsoft Office and Teams, National Student Clearinghouse, etc.).
- Assist in preparing written materials, including newsletters, prayer updates, invitations, and follow-up communications.
- Create meaningful connections with current Juniors and Seniors throughout their College and Career classes and Hope Academy Alumni, via social media, emails, phone calls and in-person events.
Event & Logistical Support
- Coordinate and execute the logistics of student and alumni events under the direction of the Director of College, Career & Graduate Support and the Graduate Support Coordinator, including (but not limited to):
- Homecoming
- Pathways College & Career Fair
- Covenant Graduate Celebration
- Networking Open Houses (for current upperclassmen & alumni)
- Handle all scheduling, setup, communication, hospitality, and materials preparation for events.
- Track RSVPs, send confirmations and reminders, manage day-of logistics, and assist with event clean-up.
Departmental Support
- Coordinate logistics and space use for College, Career & Graduate Support meetings and programming.
- Track and organize team documents, mentor applications, signed covenants, and alumni updates.
- Provide general administrative assistance to the Coordinator of Graduate Support and other team members.
- Ensure continuity of support when Graduate Support Coordinator is off site for Alumni visits
- Make ongoing connections with outside organizations within the Pathways to create a database for networking opportunities for our Alumni and Upperclassmen.
Preferred Qualifications
- Deep commitment to Christ and to the mission of Hope Academy.
- Strong team player with a heart for serving behind the scenes.
- Connector: Builds relationships (current upperclassmen and alumni) and links people with the resources, opportunities, and partnerships they need to succeed
- Experience coordinating multiple timelines, projects, or programs.
- Proficient in Microsoft Office, and/or school database tools.
- Excellent verbal and written communication skills.
- High school diploma required; associate or bachelor’s degree preferred.
- Experience working in a school, nonprofit, or ministry setting a plus, especially work related to post-secondary planning.
- Bilingual (English/Spanish) preferred.
Work Hours, Environment & Compensation
- Full-time, Monday–Friday, 40 hours/week.
- Primarily in-person with occasional evening or weekend events (with flexible work options during school breaks).
- Collaborative, mission-driven team environment.
- Salary range is $46,000-$50,000 depending on qualifications and years of relevant experience.
